Who we are

Academy of Aesthetic Regenerative Medicine (AARM) is responsible for personal information collected for its training enquiries and bookings. Contact welcome@aesthetic-academy.com or write to 4 Upper Wimpole Street, London, W1G 6LF.

Information we use

We receive information you provide, including your name, email, telephone number, profession, regulator, registration number, relevant training, course preferences and correspondence. Booking and payment services also handle transaction details. Website and hosting services may process IP addresses, browser information and security logs. Required form fields help us respond and assess prerequisites; without them we may be unable to process your enquiry.

Purposes and legal bases

We use enquiry and booking details to take steps at your request before a contract and to administer agreed training. We use relevant records to meet legal and accounting obligations. We rely on legitimate interests to manage enquiries, verify course prerequisites, prevent misuse and maintain website security. The course-interest form does not subscribe you to marketing. Where consent is required for marketing or optional technologies, it must be obtained separately.

Who receives information

Information is available to authorised admissions staff and, where necessary, instructors, website and email service providers, payment processors and professional advisers. Our website uses WordPress and GoDaddy hosting, Gravity Forms for course-interest enquiries, and Microsoft 365 email. Linked payment services include Stripe. External services such as WhatsApp, Instagram and Google Maps have their own privacy notices. Please review the notice shown by any external booking or payment service you use.

International services

Some providers operate internationally and may process information outside the UK. Applicable locations and arrangements depend on the service used. Contact us for details of the providers and transfer arrangements relevant to your enquiry or booking. Where a restricted international transfer is required, applicable UK data-protection safeguards must be in place.

How long information is kept

Retention depends on the purpose of the record: whether an enquiry remains active, whether a booking or qualification needs to be evidenced, applicable accounting or accreditation requirements, and whether a complaint or legal claim remains unresolved. We retain information only as long as needed for those purposes. Contact us to ask about the retention of your particular records.

Eligibility and clinical information

Admissions reviews the professional details supplied with course enquiries; submitting a registration number does not itself verify eligibility or confirm a place. This notice covers website enquiries and training administration. It is not a clinical privacy notice or consent to treatment. Patient-model treatment requires information from the treating provider about clinical records and consent. Do not include patient records, medical histories or patient photographs in ordinary course enquiries.

Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your information. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. Legal exceptions may apply.

You may object to direct marketing at any time. You may also object, on grounds relating to your situation, to processing based on legitimate interests.

Send requests or concerns to welcome@aesthetic-academy.com. You may also complain to the Information Commissioner’s Office.

See our Cookie Policy for information about cookies and external services. Changes to this notice will appear here with an updated date.
